The meeting that became an email

B2 Hướng nghiệp 261 từ · đọc khoảng 1 phút

A team replaced its weekly status meeting with a written update and gained four hours a week. Six months later it put a meeting back, deliberately shorter and for a different purpose.

The first change worked because the meeting had been doing something writing does better. Eleven people each said what they had done; nobody needed most of it; and the information arrived at the speed of speech, which is far slower than reading. A written update is skimmable, searchable, and available to someone who was away.

What the team lost took longer to notice. The meeting had also been where people heard about problems they had not been told about directly — a half-sentence of hesitation, a question asked in the corridor afterwards, the moment when two people discovered they were solving the same thing twice. None of that survives in a document, because a document is written to be correct and hesitations are edited out.

The replacement was a thirty-minute session with no status reporting at all and one standing question: what are you stuck on. Attendance was voluntary and the agenda was empty by design. It is a worse meeting by any measure of efficiency and it recovered the thing the efficiency had removed.

The general shape is worth noticing. When a practice is replaced by a better version of its stated purpose, whatever it was doing unofficially goes with it, and the loss appears weeks later with no obvious cause. The useful question before removing anything is not what is this for but what else happens here.
